Job Summary: We are seeking a highly organized and detail-oriented Dispatcher/Shop Office Admin to join our Southern Arizona Division in Sierra Vista. This dual-role position combines the responsibilities of dispatching logistics and managing shop office administrative tasks. The ideal candidate will have excellent communication skills, a strong ability to multitask, and a commitment to providing outstanding support to both our field staff and clients.
Key Responsibilities:
Dispatcher Duties:
- Coordinate divisional schedule Via HCSS Dispatcher and the General Superintendent.
- Communicate with drivers and field staff to ensure accurate and timely dispatching of tasks.
- Work hand in hand with Site Superintendents and General Superintendent for timely equipment/workforce coordination.
- Maintain and update dispatch within HCSS Dispatcher.
Shop Office Admin Duties:
- Answer phones, respond to emails, and handle inquiries from clients and vendors.
- Manage office supplies and inventory, placing orders as needed.
- Prepare and process documentation, including reports, invoices, and work orders.
- Coordinate and schedule appointments, meetings, and events.
- Assist with data entry and maintaining accurate records in the company’s database.
- Support the team with administrative tasks, including filing, photocopying, and scanning documents.
Qualifications:
- High school diploma or equivalent; associate’s degree or higher preferred.
- Previous experience in dispatching or office administration is a plus.
- Strong organizational and multitasking skills with the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
- Ability to work independently as well as part of a team.
- Problem-solving skills with a proactive approach to addressing challenges.
- Must be able to lift and carry a minimum of 30 lbs.
- Must have a valid driver’s license and an acceptable past driving-related history.
- Must be drug-free and be able to pass pre-employment and subsequent random drug screenings.
