Receptionist/Administrative Assistant

Responsibilities

  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person and office
  • Answer, screen, and forward incoming phone calls
  • Ensure reception area is tidy and presentable
  • Provide necessary and accurate information in-person and via phone/email
  • Receive, sort and distribute daily mail/deliveries
  • Maintain and order all supplies, copy paper, plotter supplies and put away all supplies
  • Stock copier with paper daily and stock refrigerators with bottled water and candy dish
  • Update calendars and schedule meetings
  • Reconcile credit card statements
  • Scan invoices in Vista
  • Order lunches and monthly cakes for birthday/anniversary celebrations
  • Order business cards and gas cards
  • Arrange travel accommodations
  • Assist with new hire orientations and process new hire paperwork
  • Help new hires sign up for company benefits
  • Assist with setup of iPhones and iPads
  • Maintain and update Verizon and Meraki website
  • Maintain and update company cell phone and direct line lists
  • Keep updated records of office expenses and costs
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
  • Assist Marketing, Estimating and Sales departments with administrative tasks
  • Back up Assistant for Contract Administrator with daily contracts in Vista

Requirements

  • Proven work experience as a Receptionist, Front Office Representative or similar role
  • Proficiency in Microsoft Office Suite
  • Hands-on experience with office equipment (e.g., fax machines and printers)
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Customer service attitude
